Summary:
The Office Manager is responsible for the day-to-day operations and management of a wide range of complex functions in a manner that effectively supports the efficient operation of the Department.
Responsibilities:
Provides oversight of administrative staff, work processes, scheduling, and logistics to ensure timely and responsive support.
Initiates and performs operational improvement projects for the Department. Manages the upkeep of all equipment and repairs including
facilitating equipment upgrades and inventory with Alliance IT department.
Coordinates the support systems for the Department that include IT requests, purchasing of office supplies, requisitioning of service for internal
and external vendors.
Manages the collection, submission and filing of weekly payroll reports for all staff to expedite accurate and timely processing.
Exhibits a high degree of responsibility in the maintenance of
confidential matters.
Assures that meeting rooms are scheduled appropriately.
Maintains Departmental files including physician files where applicable
Maintains appointments and meetings and sends our meeting reminders and agendas to appropriate department personnel.
Prepares purchase requisition forms and check requests, and ensures timely payment to vendors, including employee reimbursements. Performs follow-up as needed.
Serves as a liaison between DOS and hospital departments
Types and distributes minutes as appropriate
Maintains DOS files including physician OPPEs
Arranges for IT training, ID badges, and access for DOS Moonlighters and BI Residents
Assembles data, types and collates and distributes reports as needed
Maintains files of various DOS meetings memos and correspondence
Prepares purchase requisition forms and check requests and ensures timely payment to vendors
Working with Div Chiefs, coordinates material for M&M conferences
Maintains appts and meetings for Chief of Surgery and Sr. Director of DOS
Performs other related duties as assigned or directed.
Qualifications / Requirements:
Education/Training:
• HS diploma required. BS preferred.
Work Experience:
• Administrative experience in executive office and/or health care service industry or public health
• A minimum of three years experience in office management, support and supervision
• Bilingual in Portuguese, Spanish or Haitian Creole is a plus
