The Ambulatory Capacity Management Team provides consulting and project support to the Ambulatory practices of Cambridge Health Alliance. The Ambulatory Capacity Management Team is charged with supporting ambulatory practices in improving operational, business and administrative outcomes, including but not limited to: service excellence, new patient access, productivity/financial metrics.
The Ambulatory Capacity Management (ACM) Template Coordinator performs duties pertaining to Epic provider templates managing day to day opening and closing of templates, visit type and block adjustments and other Epic updates. The ACM Template Coordinator works as part of the team tasked with the centralization of provider templates in Epic (our electronic health record). The Template Coordinator will also work collaboratively with Scheduling Template Analysts to have a full understanding of all system updates needed to keep Ambulatory practices scheduling processes working as designed. The Template Coordinator will work at the direction of the Manager of Ambulatory Capacity Management and in partnership with various members of the Ambulatory operations teams. The Template Coordinator works collaboratively with various team members to ensure successful planning and execution to achieve stated goals & tasks for any programs/projects assigned.
Responsible for providing support for core scheduling functions across assigned Departments/Divisions within Epic. Troubleshoot issues for project team, workgroup, stakeholders or end-users Provides timely and accurate system updates for client practices including updating and documenting: Template changes Subgroup updates Decision Tree documentation Responsible for ongoing management and support of Template Build, Maintenance and Management for providers & Resources across CHA. Collaborates and consults with essential parties regarding template design and Epic template change requests (access specialist, providers, clinics leadership, etc.) and gains appropriate approval. Assist with testing provider template design and Decision Tree build, document results and work with the team to resolve issues. Determine when requests do not adhere to CHAPO and Service Level guiding principles and work with leadership for approval of exceptions. Understand the impact on appointment availability, clinic flow, ease of scheduling and impact on implemented functionality. Provide quality customer service and serve as an exceptional partner for our clients with the goal of assisting our clients in achieving their access goals. Contribute to meeting organization, including establishing agendas, drafting slides/materials, coordinating presenters and managing logistical components of meeting planning. Function as both an individual contributor and a team player with the ACM team, and the Ambulatory Operations areas across CHA. Prioritizes work efforts and when necessary transparently communicating priorities to team leads to ensure expectations and deadlines are met and/or appropriately adjusted to be met Ad hoc and ongoing projects and duties as assigned by the Manager of Ambulatory Access Management, the Executive Director of Provider Operations and Strategy, And the Chief Administrator Officer of CHAPO.
Qualifications:
- Bachelor’s Degree strongly preferred.
- Epic Certification preferred. Knowledge of Epic/Cadence, required.
- 2-3 years of experience in healthcare operations preferred, with a basic understanding of healthcare operations.
- 2-3 years of experience working with EPIC, performing EPIC templating in Cadence systems.
- Strong analytical, organizational, interpersonal and demonstrated customer service skills required.
- Experience with and strong proficiency with Microsoft Office products particularly with Excel, PowerPoint, and Visio.
- Demonstrated expertise in managing working relationships in a matrix structure, preferred.
- A combination of education and experience may be substituted for requirements.
